VENTMEDiC Privacy Policy

Effective date: December 23, 2025

This Privacy Policy explains how VentMEDiC (“VentMEDiC,” “we,” “us,” or “our”) collects, uses, and shares information when you use our websites, applications, and services (collectively, the “Services”), including:

  • ventmedic.com (marketing website)
  • app.ventmedic.com (cloud dashboard)
  • VENTMEDiC mobile app (iOS)
  • VENTMEDiC mobile app (Android)
  • VentMEDiC measurement devices and related cloud services

If you are using the Services through a company or organization (a “Customer”), the Customer controls many settings and decisions about how the Services are used.

1) Who this policy applies to

This policy applies to:

  • Visitors to ventmedic.com
  • Authorized users of app.ventmedic.com (accounts are created by us or by Customers)
  • Users of our iOS/Android mobile apps
  • Customers using our devices and cloud platform for emissions measurement and reporting

2) Information we collect

A. Information you provide

We may collect:

  • Contact information (e.g., name, email, phone, company) when you contact us, request a demo, or sign up for communications
  • Account information for the cloud dashboard (e.g., name, email, password, company affiliation)
  • Uploaded content in the cloud dashboard, such as company logos and well/site photos (uploaded via the website/dashboard, not via the mobile app)
  • Communications you send us (support requests, form submissions, emails)

We do not collect government IDs or safety certifications.

B. Information collected automatically on our websites

When you visit ventmedic.com and/or use app.ventmedic.com, we may collect:

  • Device and browser information (e.g., IP address, browser type)
  • Approximate location inferred from IP address (typical web logs)
  • Cookies and similar technologies (see Section 6)

C. Mobile app information (iOS and Android)

Our mobile apps are designed primarily to communicate locally with the VentMEDiC device.

Based on our current configuration:

  • The mobile apps do not require login and do not collect name, email, phone, contacts, photos, microphone data, or advertising identifiers.
  • The mobile apps do not request location and do not collect GPS from your phone.
  • The mobile apps may request Bluetooth permission to connect to the measurement device.

Bluetooth communications: Communication between the mobile app and the device occurs over Bluetooth and is protected using platform-provided Bluetooth encryption.

D. Device and measurement data

VentMEDiC devices and the cloud dashboard may process operational and measurement data, such as methane concentration (%), flow rate, pressure, line temperature, ambient temperature, and well/site coordinates (captured by the device and required to identify well location).

Device-to-backend transmission: The device may transmit measurement and operational data to our backend using MQTT. At this time, that device-to-backend MQTT transport may not be encrypted in transit.


Measurement data is logged to the Customer/company account and is intended for industrial/emissions measurement and reporting.

3) How we use information

We use information to:

  • Provide, operate, and maintain the Services and devices
  • Create and manage cloud dashboard accounts (for authorized users)
  • Associate measurement data with the correct Customer/company
  • Improve performance, reliability, and security of the Services
  • Respond to inquiries and provide support
  • Send service-related messages (e.g., administrative notices)
  • Send marketing communications where permitted (you can opt out at any time)

4) Tracking and advertising

  • We do not use the mobile apps for cross-app tracking.
  • We do not sell personal information or share it for targeted advertising.
  • We do not use third-party analytics or crash-reporting SDKs in the mobile apps (as described to us).

5) How we share information

We may share information in these limited situations:

  1. With your Customer/company administrators
    Authorized Customer administrators may access and manage user accounts and Customer data in the dashboard.
  2. With regulators, auditors, or verification bodies (sometimes)
    If required by a Customer’s compliance needs, legal obligations, or reporting requirements, measurement outputs may be shared with regulators/auditors/verification parties.
  3. Legal and safety reasons
    We may disclose information if we believe it is necessary to comply with law, respond to lawful requests, protect rights/safety, investigate fraud/security issues, or enforce agreements.
  4. Business transfers
    If we are involved in a merger, acquisition, financing, or sale of assets, information may be transferred as part of that transaction.

We do not share personal information with affiliates/subsidiaries for marketing purposes (and you indicated none are used for this purpose).

6) Cookies and similar technologies

We use cookies and similar tools on ventmedic.com (and potentially app.ventmedic.com) for:

  • Essential site functionality
  • Remembering preferences
  • Marketing site features (including newsletter/lead capture)
  • Analytics (if enabled)

You can control cookies through your browser settings and, where applicable, cookie banners/controls on the site.

7) Email marketing

If you subscribe to our mailing list or provide your email through forms, we may send marketing communications. We use a third-party email marketing provider (e.g., Mailchimp or similar). You can opt out by using the unsubscribe link in emails.

8) Data retention

We retain information:

  • Account/profile data: for as long as the Customer remains a client (and as needed for legitimate business purposes)
  • Sensor/job/measurement data: for as long as the Customer remains a client
  • Logs/audit trails: for operational and security purposes, and as needed while the Customer remains a client

We may retain certain records longer if required by law, for dispute resolution, or to enforce agreements.

9) Security

We use reasonable administrative, technical, and organizational measures designed to protect information, including:

  • Encryption in transit (web): access to ventmedic.com and app.ventmedic.com is protected using HTTPS/TLS.
  • Encryption in transit (mobile app to device): communication between the mobile app and the device uses platform-provided Bluetooth encryption.
  • Encryption at rest: stored data is encrypted at rest.
  • Access controls: role-based access controls help limit access to authorized users.
  • Audit logging: audit logs are used to support security monitoring and accountability.

Important note: some device-to-backend communications (for example, MQTT transport) may not be encrypted in transit. We limit exposure by minimizing personal information in device telemetry and restricting access to Customer accounts and data.


10) International data transfers (EU/UK)

We may process and store information in countries other than where you live. If personal data from the EU/UK is transferred internationally, we use appropriate safeguards such as Standard Contractual Clauses (SCCs) or other lawful mechanisms.

11) Your privacy rights

Depending on your location, you may have rights to:

  • Request access to or a copy of your personal information
  • Request correction or deletion
  • Object to or restrict certain processing
  • Withdraw consent where processing is based on consent
  • Request portability (where applicable)

EU/UK (GDPR): You also have the right to lodge a complaint with a supervisory authority.

Canada (PIPEDA and provincial laws): You can request access and corrections and challenge compliance.

U.S. (state privacy laws): Where applicable, you may have rights to know, delete, or opt out of certain “sale/share” activities (we do not sell/share for targeted ads as described above).

To exercise rights, contact us at [Privacy Email]. If you use the Services through a Customer, we may direct you to your Customer administrator for certain requests (especially for measurement data controlled by the Customer).

12) Children’s privacy

The Services are not intended for children under 16, and we do not knowingly collect personal information from children.

13) Changes to this policy

We may update this Privacy Policy from time to time. We will post the updated version on this page and update the “Effective date” above.
